Vendor Management Administrator

Type: 1 Year Contract

Our client has asked Bagg Technology Resources to assist them in finding a Vendor Management Administrator to join their team. The incumbent is responsible for reporting, coordination, and management of Statement of Work (SOW) related to all IT vendors. The position will provide support for all hardware and software incident related reporting and to support procurement activities and vendor/ internal procurement related audits. This role is integral to the success of ITVM function requiring sourcing knowledge and competence coupled with excellent communication skills and assertiveness since this role is expected to interact with middle management and senior leaders.

Key Responsibilities

  • Responsible for reporting on all professional services engagements within IT in line with established MSA’s and Contracts with vendors. Any and all reporting templates and cadence to be created and maintained by this incumbent
  • Support operational groups within IT with procurement activities and completing initial formalities to support procurement of hardware and software in line with corporate procurement framework and processes 
  • Assist in the development of processes and related cadence by which vendors are evaluated and selected in accordance with company guidelines and best practice
  • Point of contact for support in case of disputes and escalation of the same
  • Support internal vendor management team and its strategic direction
  • Accountable for following all policy changes and for compliance with policies for business execution
  • Regularly collaborates with internal teams on potential program improvements

SOW management

  • Proactively supports execution of SOW through its life cycles such that all parties involved in the SOW are held accountable to deliverables within the SOW
  • Provide logistical support in relation to operationalization of a SOW
  • Maintaining clear records of SOW’s and associated key metrics to ensure objectives of the SOW in question are being met
  • Advise on key metrics to be associated with a SOW or professional services agreement to influence the right supplier behavior to support ITS and business goals
  • Ensure SOW’s and professional services agreements stay within the financial parameters as defined therein. Any deviations of the same need to be reported to ITVM Lead and impacted stakeholders
  • In case of deviation from agreed upon time and charges (T&C’s), support corrective actions to bring SOW’s and professional services agreements back in line with business expectations and targeted results
  • Report on the delivery and cost parameters for all SOW’s and Professional services engagements
  • Supports business stakeholders in achieving their objectives as outlined in the SOW or PS Agreements


  • Responsible for Hardware and software reporting with ultimate intent to support vendors auditing the Organization and internal audits as conducted by Enterprise Procurement Team and Internal Audit
  • Responsible for vendor score card updates and maintenance
  • Support Infrastructure team monthly invoicing reconciliation and resolve issues to ensure optimal vendor/supplier spend
  • Ensures all reporting is in line with vendor corporate parameters and IT Strategic policies and procedures
  • Accountable for reporting on SLA and metrics scorecard including quality measurements pertaining to SOW’s and professional services agreements
  • Supports creation and delivery of department management reports

Vendor Management

  • Supports new vendor assessment process
  • Helps maintain vendor calendar of renewals, upgrades etc.
  • Participates in the review of open issues within ticket system to identify trends and make recommendations for future enhancements of vendor releases
  • Provides performance data and periodic feedback to business partners to ensure quality
  • Provides input for ongoing process improvement to deliver increasing operational efficiency in all business partner processes
  • Evaluates internal and external Service Level Agreements to identify areas of improvement
  • Oversees the accuracy and timeliness of all business partners reporting. Ensures that reporting meets requirements
  • Creates successful relationships with vendor contacts at all levels of the organization


  •  2 – 3 years of IT experience in any of the following areas of Service Support, Network, Security or in experience in Vendor Management or procurement
  • University degree in a related field is preferable
  • Project Management PMI certification or Sigma designation is desired
  • Ability to work in a high activity/fast paced environment while managing associated stress
  • Demonstrates understanding of vendor management concepts and implementation techniques specifically, vendor performance monitoring
  • Position may require minimal travel to Organizational sites across Canada
